Refund and cancellation policy

This policy applies to professional assurance engagements with Stonegate Fintech Assurance, including licensing readiness audits, AML control assessments, board assurance briefings, and vendor control reviews. It does not cover products, software subscriptions, or physical goods, which we do not sell.

Deposits

A deposit of thirty percent of the quoted fee is due when the engagement letter is signed. The deposit reserves fieldwork dates and covers initial evidence intake planning.

Eligibility for refund

Full refund of the deposit is available if you cancel in writing at least fifteen business days before the first scheduled fieldwork day and we have not begun substantive document review.

Partial refund may apply if cancellation occurs between fourteen and five business days before fieldwork: fifty percent of the deposit is retained for preparation already performed; the remainder is returned.

Non-refundable items

• Fees for fieldwork days already completed
• Draft or final reports already delivered
• Board briefing session fees after the session has occurred
• Third-party meeting room costs prepaid at your request
• Deposits when cancellation is within four business days of fieldwork start

Work already started

Once evidence review or interviews have begun, fees are billed for time and milestones completed. Any unused balance of a fixed fee may be adjusted by written agreement; there is no automatic full refund after kickoff.

Rescheduling

One reschedule of fieldwork with at least ten business days’ notice is permitted without additional fee, subject to our calendar. Later reschedules may incur a rescheduling charge of ten percent of the engagement fee.

No-shows

If nominated interviewees fail to attend scheduled sessions without twenty-four hours’ notice, that half-day may be charged as delivered. A replacement slot is scheduled only if calendar capacity remains within the original engagement window.

Refund process and timing

Send refund requests to hello@webserviceshub.digital with the engagement reference and reason. Approved refunds are processed within fourteen business days to the original payment method or bank account used for the deposit.

Method

Refunds are issued by bank transfer or the same channel used for payment. Currency matches the engagement invoice unless otherwise agreed.

Exceptions

If Stonegate cancels an engagement for reasons other than client breach or force majeure affecting both parties, you receive a full refund of amounts paid for undelivered work.
